Description

Role & Responsibilities

  • Ensure 100% accuracy for meeting logistics
  • Maximize use of CP4’s time. Prioritize calendar to avoid schedule conflicts. For example, time manage CP4’s day: block out periods for e-mail, return telephone calls, etc.
  • Act immediately on any Customer Related issues. Source sequence of events. Redirect to the appropriate point of contact. Follow up on customer requests to ensure resolution.
  • Manage travel arrangements and expense reports, reconcile expenses for extended team
  • Prepare/print documents/reports/presentations/ as required for meetings. Flag urgent messages and/or emails as required and action accordingly.
  • Manage CP4’s e-mails, while there in or out of the office – redirect and/or take immediate action.
  • Provide support to the extended team
  • Manage department communication: distribute organization announcements, new product launches, training programs, town halls, weekly meeting, translation of Versacom documents, etc
  • Manage recognition program for department
  • Coordinate department meetings: internal/external (for example, town halls, weekly, etc) Preparation of agenda items, booking meeting room, coordinating meals and snacks.
  • Point of contact for all visitors.
  • Enter all HR/HRSS transaction in SAP : hires, promotions, compensation, absenteeism, payroll (time reporting), etc
  • Update and maintain Managements’ personal files : vacation, BC1964’s
  • Co-ordinate annual AIP / Salary Review processes
  • Oversee and co-ordinate equipment for new hires: lap-top, telephone, ID access, VISA card, workstation (Nexacor) etc.
  • Generate adhoc reports: turnover, headcount, job code, etc
  • Create and maintain department org. charts
  • Manage contractor onboarding
  • Manage CDC site on leader’s behalf: i.e. approving training programs
  • Answer question from internal / external customer on different matters
  • Resolve problem without escalation
  • Order Stationary / Supplies
  • Point of contact if team member or other groups need support on company policies, reference letters, etc
  • Manage APSS activity; coding invoices
  • Work Address Details - 5099 Creekbank & 22 Adelaide (must be flexible)
